Spend less time reviewing duplicate applications
Recruit is rolling out improvements to help keep your candidate database clean and reduce manual review of duplicate records. Recruit’s improved duplicate handling merges confirmed duplicates automatically, gives recruiters a way to separate records that were merged incorrectly, and can make sure candidates are notified when applying during the cool-down period.
What’s new?
- Automatic duplicate merging:Recruit automatically identifies and merges duplicate candidates, except when human review is necessary. When candidates are merged, each hiring process is retained along with its status and source. Learn more
- Easy unmerging:Recruiters can use the new Detach process feature to separate candidate profiles that were merged incorrectly. Learn more
- Cool-down period:The previous “auto-resolve” setting has been renamed “cool-down period.” When a candidate applies multiple times within the defined period, Recruit helps prevent unnecessary duplicates from being created. You can now also enable an automated notification for candidates who re-apply during this period. Learn more

Getting started
These features are being gradually rolled out to all customers. We recommend visiting your
settings
to review your cool-down period and notification options (requires an Admin or Owner role).new

AI Notetaker
AI Notetaker automatically captures interview conversations and generates a concise, structured summary, so interviewers can stay focused on the candidate instead of taking notes. It also provides suggested evaluation notes based on what was discussed in the interview.
This helps teams save time, improve feedback quality, and move faster by turning interviews into clear, usable insights right after the call.
How it works
- AI Notetaker joins interviews and captures the conversation
- It generates an interview summaryhighlighting key topics like experience, skills, and candidate responses
- Then, AI Notetaker suggests evaluation notes, including pros, concerns, areas for further review, and scorecard ratings
- Teammates can review suggestions and accept, edit, or skipbefore submitting their evaluation
- The interview summary is available on the candidate profileas part of the candidate evaluation

Getting started
This feature is being gradually rolled out to customers on all plans. For more details, see our help article.
Candidates can now provide more of their required information directly through pre-screening questionnaires, and their answers will automatically save to the corresponding fields on their candidate profile. This helps recruiters keep candidate profiles more complete and makes key screening information easier to search, filter, and report on across the candidate database.
How it works
- All candidate answers can now be saved to candidate fields, including newly supported dropdown and single-choice questions.
- Use candidate field responses in Knockout questions to reject candidates who don't meet required criteria.
- Admins can define which dropdown candidate fields can be presented to candidates to fill in on their own in a pre-screening questionnaire.
- Candidate fields are available in candidate search, filters, and reports.
